How-to

Share a large file with fewer surprises

Check the upload, access settings, and download from the recipient’s side.

Find out what the recipient needs

Ask whether they need to view, edit, or download the file. If they only need a preview, a smaller exported copy may be easier to open. Keep the original in its project folder so you can send it separately when needed.

Choose access settings deliberately

Use the service’s sharing settings to select the intended recipients and permissions. For a private document, use an invitation tied to the recipient’s account when available. Use the weakest permissions that still let them complete the task.

Verify the file and link

After the upload finishes, check the file name and size. If you can test the link with the intended access level, check that the correct version opens. For an expiring link, include the expiry date in the message so the recipient knows when to download it.

Remove outdated links

If the file is replaced, tell recipients which copy is current. Revoke access to outdated copies when the collaboration no longer needs them. Keep the project folder organized so you can find what you sent later.
